SmoothDev supports multi-seat plans for teams and organizations, allowing you to manage licenses and collaborate across your team.

Overview

With a multi-seat plan (Scale or Enterprise), you can:

  • Create an organization for your team
  • Invite team members
  • Assign and manage licenses
  • Control access with role-based permissions

Creating an Organization

Organizations are automatically created when you purchase a multi-seat plan.

  1. Subscribe to a Scale or Enterprise plan with multiple seats
  2. Your organization is created automatically
  3. Navigate to your organization from the sidebar

Organization Roles

Each organization member has a role that determines their permissions:

Role Permissions
Owner Full control: manage billing, members, licenses, and settings
Admin Manage members and licenses, but not billing
Member Use assigned license, no management permissions

Managing Members

Viewing Members

  1. Navigate to your organization page
  2. View the member list with:
  3. Name and email
  4. Role
  5. License status
  6. Join date

Inviting Members

  1. Go to your organization page
  2. Click Invite Member
  3. Enter the member's email address
  4. Select their role (Admin or Member)
  5. Click Send Invite

The invited user will receive an email with instructions to join.

Removing Members

  1. Go to your organization page
  2. Find the member in the list
  3. Click the Remove button
  4. Confirm removal

Removing a member also unassigns their license.

License Management

Understanding Licenses

  • Each seat in your plan is a license
  • Members need an assigned license to use SmoothDev
  • Unassigned licenses can be given to new members

License Pool Status

Your organization page shows:

  • Purchased - Total licenses in your plan
  • Assigned - Licenses currently assigned to members
  • Available - Licenses available for new members

Assigning Licenses

  1. Go to your organization page
  2. Find the member without a license
  3. Click Assign License
  4. The member can now use SmoothDev

Unassigning Licenses

  1. Go to your organization page
  2. Find the member with a license
  3. Click Unassign License
  4. The license returns to the pool

Adding More Seats

If you need more licenses than your current plan provides:

  1. Go to Billing in the sidebar
  2. Click Upgrade or Add Seats
  3. Select the number of additional seats
  4. Confirm the purchase

Additional seats are prorated for your current billing period.

Viewing Organization Details

Your organization page displays:

  • Organization name
  • Current plan
  • Total seats
  • Member count

Transferring Ownership

To transfer ownership to another member:

  1. Contact support at smoothdev.io/contact
  2. Provide the new owner's email
  3. Both parties must confirm the transfer

Best Practices

For Owners

  • Regularly review member access
  • Remove inactive members to free licenses
  • Keep billing information up to date
  • Assign Admin role to trusted team leads

For Admins

  • Only invite members who need access
  • Assign licenses promptly to new members
  • Monitor license usage

For Members

  • Keep your account secure
  • Use your assigned license responsibly
  • Contact your Admin if you need help

FAQ

How many members can I have?

Your plan determines the number of seats (licenses). You can have unlimited members, but only those with assigned licenses can use SmoothDev features.

Can I have multiple organizations?

Currently, each account can own one organization. Contact support for enterprise arrangements.

What happens when a member leaves?

When you remove a member:

  1. Their license is unassigned
  2. They lose access to SmoothDev features
  3. The license becomes available for another member

Can members be in multiple organizations?

Yes, a user can be a member of multiple organizations if they have separate accounts or if organizations invite the same email.

Security and Data Handling

Smoothdev encrypts customer data in transit and at rest using tenant-scoped encryption keys. Source data is processed only for the requested operation and is not retained long term. Generated artifacts are returned to the user. Operational metrics and validation logs are retained to improve system reliability and quality.

Limitations

  • Organizations require Scale or Enterprise plan
  • Each account can own one organization; contact support for enterprise arrangements
  • Ownership transfer requires support assistance
  • Members without assigned licenses cannot make generation requests
  • License assignment changes take effect immediately
  • Removed members retain access until their current session expires
